What happens in WeGive's integration if I have multiple records of the same individual in my CRM?

In your CRM, you are able to have multiple accounts (households and companies) and contacts (individuals). Your CRM can have duplicate contacts that are associated with the same name and email address, but are differentiated by their unique ID number. However, when using the WeGive platform, each contact is uniquely identified by the email address associated with the contact name. You can have multiple email addresses associated with one Donor Profile in WeGive; however, you cannot have multiple Donor Profiles associated with a singular email address.

Let’s say you are trying to add the contact John Smith from your CRM into WeGive. There are multiple records of John Smith in your CRM ([email protected], [email protected], [email protected]). When we integrate John Smith from your CRM into WeGive, all three email addresses will be associated under the contact John Smith. John Smith's Donor Portal information will display the total of all payments made by John Smith using any of his [email protected], [email protected], and [email protected] email address logins, regardless of which of these email addresses he uses to login to his WeGive Donor Portal.

However, if John Smith uses a brand new email address ([email protected]) to login to his WeGive Donor Portal that is not yet recorded in the CRM, a new contact will be created in both WeGive and the CRM under the name John Smith that is associated only with the new email address [email protected]. John Smith has now created a separate Donor Profile on WeGive that will only reflect the donations associated with [email protected]. Now John Smith has two WeGive contacts, one associated with the emails [email protected], [email protected], and [email protected] and another associated with only the email [email protected]. In order for John Smith to view an accurate account of his total donations in his Donor Profile, the organization’s Admin will have to merge his accounts in the CRM.

Supporters making a donation on a WeGive Donor Portal must first enter their email address before entering payment information, which allows them to use a one-click checkout and saved payment information the next time they donate using that same email address. If they decide to donate using a different email address in the future, they will have to re-enter their payment information. If their email addresses are already associated with their contact record in your CRM, their Donor Profile will reflect payments made with both emails. However, if their contact record has not yet been associated with both email addresses in your CRM, their Donor Profile activity will only reflect the payments of the email address used to log in to WeGive unless your CRM merges the contact information. You cannot share saved payment information across multiple email addresses and you cannot edit recurring donations that were set up on an existing email address.
