This guide explains how to manage file uploads within supporter records. This feature helps your team securely store important documents related to each supporter.
File Uploads
The File Upload feature allows you to attach files—such as PDFs, images, forms, and correspondence—to specific supporter records.
When to Use File Uploads
You can use file uploads to store:
- Signed agreements (e.g., matching gift forms or pledges)
- Donor communications
- Scanned checks or receipts
- Notes from phone calls or meetings
- Photos of Supporter
How to Upload a File
- Go to the Supporters tab and open a specific supporter’s record.
- Click on the Actions tab within the supporter record.
- Click the Upload File button.
- Drag and drop the file into the upload area.
After uploading, the file will be displayed under the Info tab in the Files section.
File Information Displayed
Each uploaded file includes:
- ID: A unique identifier for the file.
- User: The team member who uploaded the file.
- File Key: A clickable link to view or download the file.
- MIME Type: The file format (e.g., image/png, application/pdf).
- Model ID: The identifier of the record the file is associated with.
- Model Type: The type of record (e.g., donor, transaction).
- Created Date: When the file was uploaded.
Viewing All Files
Click View All from the file section to open a table listing all uploaded files across your organization.
You can filter by:
- User (who uploaded it)
- File Key
- MIME Type
- Model ID
- Model Type (e.g., donor, transaction)
- Created Date
Using File Uploads ensures that every interaction with a supporter is documented and easy for your team to access. This fosters transparency and better collaboration in donor management.
