Guide: Payments, Reconciliation, and Supporter Services in WeGive

💳 Payments Overview

All donations and transactions are tracked under the Payments > All Payments tab. This table gives you a comprehensive view of incoming revenue, refunds, test transactions, and more.

Key Actions:

  • Filter by type (e.g. recurring, service revenue), date range, amount, fund, status, or method

  • Icons:

    • Green check: Success

    • Orange clock: Pending

    • Red X: Failed

    • Blue icon: Test transaction (from preview mode)

    • Payment Method: Card, Bank/ ACH, WeGive G (offline) 

  • Click donation amount to open full payment details

From the Payment Detail View:

  • View timestamps for initiation, success, failure, refund

  • See designation, payout ID, processor ID, and origin URL

  • Download receipts

  • Refund or edit donation details

  • Editing allows you to change: donor, designation, campaign, recurring plan, pledge, date, visibility, etc.

  • For failed payments: view the "description" field for error reason (can be sent to donor via "Failed Payment" triggered message using the description variable)


♻️ Recurring Plan Management

If a payment is tied to a recurring plan, scroll to the Recurring Plan section on the payment detail page. Click the Recurring Plan ID to:

  • View installments, frequency, and next/last processed date

  • Edit plan details (amount, method, schedule)

  • Add/update payment method

  • Charge a one-time missed installment

  • Pause, cancel, or archive a plan

Tip: Pausing indefinitely allows donors to restart in the future. Archiving permanently ends the plan.


📄 Supporter Profile Management

Click on any donor's name to view their Supporter Profile. Navigate through tabs:

Engage Tab

  • Message history

  • Login access to donor portal

  • Tags and impact content

  • Communication list preferences

  • Global opt-outs

Info Tab

  • Mailing & billing address

  • Preferred contact information

  • Recent actions and in the platform

  • Audit & integration logs (CRM sync info)

Related Tab

  • Donations, recurring plans, pledges

  • Payment methods on file (green check = primary)

  • Fundraisers, event registrations

  • Tax documents, custom answers, checkout sessions, soft credits

Actions Dropdown

  • Edit donor info

  • Record offline donation (e.g. check or cash)

  • Charge donor (via virtual terminal)

  • Add payment method or login

  • Tag, merge, or pledge creation


💸 Payouts & Reconciliation

To reconcile incoming funds:

  • Go to Payments > Payouts

  • Click into a payout to view:

    • Gross amount, fees, net revenue

    • Designated funds, transaction count

    • Related donations

  • Click Export for a CSV summary

  • Visit Data > Exports to download the file

This export provides a detailed breakdown of all transactions within that payout window for your accounting team.
