Outbox Guide

The Outbox feature allows you to view all sent messages in one centralized location, making it easy to track, filter, review, and manage your communications across your organization.

You can access the Outbox by going to the Engagement tab and clicking on Outbox.


How to Use the Outbox

When you open the Outbox, you will see a compiled list of all messages sent through your platform. The table includes key details for each message:

  • ID of the message

  • Name of the message

  • Recipient (who it was sent to)

  • Form of the message (email, SMS, or in-platform message, indicated by an icon)

  • Supporter name (associated with the message)

  • Send date (when the message was sent)

Available Actions:

  • View Message Details: Click the eye icon next to any message to view the full message content, associated rules, history, and analytics.

  • Tag Supporters: Select one or multiple messages and click the Tag button to tag the supporters associated with those messages.

  • Export Messages: Select messages to export them for further analysis or record-keeping.


Filtering Options

The Outbox includes robust filtering tools to help you find specific messages quickly. You can filter messages by:

  • Error: Filter to view only error messages (Yes/No).

  • Campaign: Filter by the campaign the message is associated with.

  • Household: Filter by associated household.

  • Donor: Filter by associated donor.

  • Message Name: Filter by the specific name of a message.

  • Message Type: Filter by whether the message is a Triggered or Regular message.

  • Event: Filter by the event type that triggered the message, including the following and more:

    • Payment success

    • Payment failure

    • Recurring donation created

    • Tribute made

    • Donor profile created

    • Event registration success

    • Tagged in an Impact Story

    • Tagged in an Impact Card

  • Communication List: Filter by associated communication list.

You can also view all applied filters at the top once selections are made.


Message Details View

When you click into a specific message, you’ll be able to see:

  • The full content of the message.

  • The rules that triggered it.

  • The history of delivery attempts.

  • Marketing analytics related to that message, such as open and click rates if applicable.
