      Scheduled Reports in WeGive

      What are Scheduled Reports?

      Scheduled Reports (also referred to as "Scheduled Exports") allow you to automatically generate recurring data exports from any table in your WeGive dashboard. These reports follow your applied filters and can be delivered to your inbox on a set schedule.

      How to Set Up a Scheduled Report

      1. Apply Filters to Your Table

        • Go to any table (Supporters, Transactions, Payments, etc.).

        • Apply standard or advanced filters as needed.

        • Tip: Use relative date filters (e.g., “Created At is less than 7 days ago”) to ensure reports contain fresh, relevant data every time they run.

      2. Click “Create Scheduled Export”

        • This button appears next to the regular “Export” button on eligible tables.

      3. Name Your Report

        • This name is just for your internal reference (e.g., "Weekly Failed Transactions").

      4. Choose Start Date & Frequency

        • Pick a start date and time.

        • Choose frequency: Daily, Weekly, Monthly, or Yearly.

        • The report will run for the first time at the start date/time, and then follow your selected cadence.

      5. Add Optional Email Notifications

        • Enter one or more email addresses (comma-separated).

        • Recipients will receive an email notification with a link to view the report when it's ready.

      6. Select Export Fields

        • Customize which fields should be included in your report and their order.

      7. Review & Confirm

        • You'll see a summary of filters, frequency, fields, and recipients.

        • Click Confirm to finalize.

      Managing Scheduled Reports

      • Go to Data > Scheduled Exports to view and manage reports.

      • You can:

        • Pause/Resume individual or bulk reports.

        • Archive reports you no longer need.

        • View saved filters and selected fields.

        • Use bulk actions to manage multiple reports at once.

        • If resuming a report, you’ll be prompted to pick a new future start time.

      FAQs

      • Does it send the file directly to my email?
        No, the email includes a link to your WeGive dashboard's Exports page where you can download the file.

      • What’s the best way to set date filters?
        Use relative filters like “Created At is less than 7 days ago” to get dynamically updated results each time the report runs.

      • Can I name individual report files?
        Not currently. The report name is for your reference in the Scheduled Reports table, not the filename.
