Tasks and Notes Guide

The Tasks and Notes features help you and your team manage supporter engagement more effectively by tracking follow-ups, personal details, and to-do items directly within each supporter’s record.

Accessing Tasks and Notes

  1. Navigate to the Supporters tab.

  2. Click on the name of a supporter to open their record.

  3. Within the supporter’s record, go to the Info tab.

  4. Here you’ll find sections to add both Tasks and Notes related to the supporter.


Tasks

Tasks allow you to assign actionable items to yourself or your teammates, helping ensure that nothing falls through the cracks in supporter engagement.

What You Can Use Tasks For

Tasks can be used for things like:

  • Sending a thank-you note after a large donation.

  • Calling a donor to review their recurring giving plan.

  • General outreach reminders.

  • Following up after an event.

How to Create a Task

  1. Under the Info tab in the supporter record, locate the Tasks section.

  2. Click to add a new task.

  3. Fill in the following:

    • Task Name: e.g., “Call donor to confirm matching gift.”

    • Due Date: When the task should be completed.

    • Assigned User: Choose a team member responsible for completing the task.

Viewing and Managing Tasks

  • In the top-right corner of your platform, click the Tasks icon (a circle with a checkmark).

  • This opens the task overview panel where you can:

    • See all assigned tasks.

    • Click View All to access a full table of tasks including:

      • Task ID

      • Creator

      • Related Model (e.g., Supporter)

      • Task Content

      • Created Date

      • Due Date

      • Completion Status

      • Assigned User

Completing a Task

  • From the supporter’s record under the Info tab, click the checkbox next to a task to mark it as completed.

  • Completed tasks will appear crossed off to indicate they are done.


Notes

Notes let you keep important context and details about a supporter in one place, helping you personalize your outreach and keep your team aligned.

What You Can Use Notes For

Examples include:

  • “Donor prefers to be contacted by phone.”

  • “Typically donates in Q4 around Giving Tuesday.”

  • “Child attends our summer camp and mentions it often.”

How to Add a Note

  1. Under the Info tab in the supporter record, locate the Notes section.

  2. Type your note directly into the note field. For example:

    • “Last reached out on May 1st. Waiting on response about recurring giving changes.”

  3. Click Add Note to save.

Viewing Notes

  • Notes appear in a list under the Notes section.

  • Tasks may also display alongside Notes for convenience and visibility.


Using Tasks and Notes helps maintain consistent, high-quality donor engagement by giving your team visibility into next steps and personal supporter details—all in one place.
